Status for old tickets needed

We have two tickets that need urgent attention on our ticketing platform Zammad.

Ticket #1:
A student was not able to be part of the exam inspection of their EML exam, and contacted us regarding this. This got lost. The question now is - are there any updates to this situation?

To Do: Ask the student if everything got resolved. Find someone to contact them.

A remark from one of our members -
"Legally speaking the student has a right to an inspection of their exam, but I am not sure which terms and conditions apply if there is a set time and you had ample time to register.
Overall, I don't understand why the lecture team would not accept any late registrations, considering there is enough time to sort all things out. Only thing I can think about is that they have a limited amount of slots that are fully booked out. Which then again would just mean that they misplanned, as not everyone has an opportunity for an inspection.

I would suggest to the student to reach out to the lecturer, kindly reminding them that a proper exam inspection is a legality and whether there are any reasons for not accepting late registrations. From a legal perspective, the student could probably also ask for a copy of their correction"

Alakshendra has volunteered to check up on this student.

Ticket #2:
A student was unable to register for courses. This was discussed at the deans' lunch. Now, we need to write a follw up email to this student.

Anton has volunteered to do this along with Ferdinand.


SIC PR support

Sahra Grolier asked whether we would like to support the SIC PR team at their booth on the 3rd of October.

3rd of October is a Holiday celebrating the unification of Germany. There is gonna be a celebratory event. The university is gonna host a booth at the event and asked if we'd like to participate and if there is anyone who'd like to be part of the organisational part of it.

Yağmur gives clarity on what has been brainstormed so far to promote Computer science studies. They have come up with some ideas of their own. Yağmur is going to be present already as part of their PR team, not on behlf of the FSR. Hence, they need an FSR member to be present to answer questions of the people.

Jonas asks for information about when the possible brainstorming shall happen. He seems interested. He asks if someone more experienced should be there at the booth, as they can then answer questions better. Anton says that's not entirely necessary.

Jonas checked, he is unavailable - damn.

We asked again if anyone would volunteer. Yağmur suggests that we can also ask people on the telegram group and then respond accordingly.

Anton will draft a message for this.




KIF in Saarbrücken - Feasibility Discussion

Anton is prepared for this.

JP asks if there are slides, Anton says yes, ofcourse.

Sadly, the slides didn't work, so Anton had to pivot.

Oh wait, he managed to show slides.

JP has slides that are very general and broad.

Anton begins by telling us what KIF is in essence and where they have been organised before. Hence, he proposes that it's time that Saarland University does this.

JP now begins his presentation. He shows us potential locations for doing this. He emphasises that the main requirement is plenty of rooms. HTW was suggested as a location. Ofcourse, UdS also exists. He then presents the feasibility of organising it in two places and bus connection ideas.

Anton takes over again. Anton has been to KIF and he attended a workshop on how to organise one. He covers about what needs to be done, the time frame, the costs, etc.

Anton is targeting early 2027.

Anton and JP are already discussing things. Alex is also motivated to be a part of this, as he is good with financial stuff. There is also a contact person at HTW who is involved.

PS: This is not the finalised core team. These are just people who are interested so far.

The next steps in the organisational process would be to bring the departments upto speed on the plannning and check with them about feasibility.

Alakshendra asks about how early we should be applying to do it as other universities could also be planning to do so. Anton gives clarity.

Anton then did a vibe check to see how everyone feels. This sufficed.
People responded positively.


Studying Quality — Results of Meeting with Contact for Study Quality & next Steps

Anton had a meeting with the Kontaktstelle Studienqualität (en: Contact for Study Quality) to find out whether they have any data on the current student situation. They don’t, and ask us to work out a Questionnaire (potentially with their help).

Anton has some sample questions ready. Daniel refreshes that in a previous meeting it was brought up that there is an existing questionnaire, which revolves around health and fitness. So we can take some questions from there too.

Anton highlights that the goal of this is to get a mental health check of the students and see how they are feeling about university.

Yağmur discusses about things to keep in mind about the questionnaire such as number of questions, and advertisement ideas.

Anton would like some help with this - Yağmur volunteers.


Ausschreibung Landespreis Hochschullehre 2025

Every year the prize for outstanding teaching (“Landespreis Hochschullehre”) is issued by Saarland.

There also is a special prize category for “extraordinary engagement of students”. In this category, you can nominate a project/a group of up to five students who have, made a considerable impact/effort within the university/student life.

If we have a single student/or a small group who have made a considerable effort beyond the usual council work, we could consider nominating them.

So, who do we want to propose as a candidate for this. Some suggestions were offered.

Our next course of action is to talk to the suggested people internally, and get a conversation going.



Student Council Questionnaire — Invitation to Discussion about current Student Situation

Invitation to have an one-hour discussion with the Quality Bureau about the current situation. We should send someone.

Daniel suggests having a office hour sort of thing where students can come and talk to us and share thier opinions with us, in exchange for free coffee/tea.

Daniel has volunteered to participate in the discussion.
Abigail and Jonas have volunteered to help Daniel do the office hour thingy.



Announcing our Mailing Lists

We noticed that there are not that many members (active) on our mailing lists.
Maybe we can decide if we announce them via our poster frames, discord pinboard,...

Anton suggests asking if Erich would be okay with advertising our mailing lists. Jonas adds that we can also do a poster for this. Daniel says that poster would be great but depends on how well we circulate this. In the long run, we can have a A0 poster that contains all these details.

Anton also suggests having a talk during StEP focusing on email lists.

Yağmur also suggests announcing our meeting minutes via the mailing lists. This could involve letting students know when the next meeting is, what the topics are, what the results of the meeting were, link to the meeting minutes... and so on.

Harry shares his sentiment about how students could possibly respond to multiple emails in the week.

Daniel shares that a "newsletter" once a week could be recieved well by students.

The newsletter seems like a good idea, but needs care and attention. Yağmur suggests a taskforce for this would be helpful - maybe social media.

Jonas expresses interest in being a part of the social media taskforce for this purpose.

Lizzie asked if this would be digital magazine or graphic. She also suggests a platform called Issuu to make a newsletter.

Daniel knows how to turns pdfs into flipbooks.

Topic got out of hand, so we re-centred.

The conclusion is that team social media will discuss the technicalities in depth and let the others know.




Potentially different FSR terms

This Monday was the FSK. There was the topic FSR terms and when to do the next voting period. Last time we had the problem, that the voting was quite late in January. Now there is a complete different thing on the debate. Daniel is representing our council in the FSK, but he does not want to decide on his own about this as it could potentially affect the term of the currently elected members.

We have two options - Option A: Voting in WS and Option B: Voting in SS

Anton gives his opinion that doing it in the WS is better as students are motivated to apply for candidacy after the StEP.

JP and Jonas bring to attention that voting after StEP can create a bias about who is voted. Not everyone is involved in StEP or the events that happen in the welcome week.
Having it in the summer could allow students to experience uni life and see what the FSR does and then make a informed decision on who to vote for.

Daniel and Jonas say that there is no guarantee that first semester students are motivated or not to apply that soon. Daniel argues that SS seems like the better option as by then students are experienced and have a better idea about how things work and how they can contribute. Yağmur also voices her reason for why SS is a good option.

Daniel emphasises that doing it in the SS would help establish a proper voting period: one for StUPA and the other for FSR.

We then discussed about doing PR events in the WS so as to allow students to get to know candidates better.

We need to vote on a decision. A vote was done











Game Night needs Night Gamers

Game Night currently has not many helpers! This is bad for obvious reasons.

Jonas is unsure why there aren't many helpers and is concerened about the future of game nights if there isn't much help.

Daniel suggests doing a vibe check to see if more people are available on certain fixed days (e.g last friday of every month or the first,etc)

Jonas says that he will do a poll to get a fixed date for game night.

JP asks if we ever collaborated with Math council, as they also do a game night.
There are some technicalities that will have to be discussed with them for a better middle ground. This idea can be explored further.


Registrations are not registrating

There was a pub crawl.

Here is a summary -
There were 32 registrations but only ca. 12 showed up. Jonas understands that not all registrees actually attend but is flabbergasted at the margin of how many students don't show up.

Jonas would like to have another pub crawl, if the registration count is up to the mark.

Jonas and Daniel discuss the details of the pub crawl that took place during StEP.


Building Access

There were non-university people in our buildings after the opening hours who then got kicked out. Now we should clairify under which conditions we can actually still rent out the Verfügungsraum.

According to Natalia it would be best if organisations/clubs who (regularly) are in the verfügungsraum but are not students, should fill out a form and have the rental approved by department ZD.

We should talk to department ZD if it’s ok to permanently bypass the dean’s office or Erich (since the room is managed by us).

We should edit our website accordingly.
