Planned Events this Semester

----INTRO-----

The FIS needs to plan their budgeting, therefore the FSR needs lock in their planned events that need support with FIS money. We talked about this last meeting and this decision was postponed to this week to give the new task forces a week time to come up with events.

---DISCUSSION---

We do have somewhat "default" events, which are now long running and well received, which were planned in before and will be planned in again. Those events are: Breakfast, Game Night, Quiz Night, Niko Fete & Summer BBQ.

On this note, regarding Game Night, there were some wishes to offer the provided drinks for free. Right now, the Game Night semi manages itself with a budget of 30€ per event for snacks and the money made (-paid) for drinks. This money also is used for new board games. Since the Quiz Night now changed to prices from iCoffee vouchers to mensa coupons, there is budget freed that could be used in Game Night.

Following are (potential) new events. In the end, there is still the budget and what can be spent, therefore if all the following events will be realized in the proposed form is not fixed, but this helps FIS to plan.

1. Potluck Event:
A food event where everyone brings own cooked food and the food is then shared. Drinks could be provided for free. Guckeslberg hosted some events like this before and a form with sign up and dish was used. The event is usually well perceived (5-15 people compared to ~20 for regular events). The dishes brought were prepared/cooked. One downside compared to Guckelsberg for us is, that People would need to somehow bring their food to uni. Also we need to be able to heat the food up.

2. Feedback / Open table FSR event:
In the past there were 2 events, where a table was put in E 1.3 and passing by students were invited to sare their thougts and problems over a cup of tea / coffee. This event used resources from other events in the past and now a separate budget could be planned in. The plan is to hold 2-3 events per semester with a total budget of 30€ per year.

3. One time karaoke night:
After some slight research, we would need to spent ~40€ in GEMA fees per karaoke night with a entrance fee cap of ~ 1.50€. To get an idea if people would like to have such an event, a one time free version could help to see how many students would attend and we could also ask them how much they would be willing to pay as entrance fee (to make this event possible).

Off topic:
Regarding GEMA, there has been a brand new decision (this January) in Saarland to support organizations as the FIS with GEMA money for 4 events per year IF they do not mainly focus on music. Events like this would be our Niko Fete and Summer BBQ for example.

4. Cocktail Party
It was asked if the FIS could support in a money backup form a self financed cocktail party. It was not completely clear during the discussion, but there are (maybe) rules that veto out hard liquor to be spent charity money on. We could however do a colap with Heimbars regarding this as we already colap with Heimbars in terms of Quiz Night.


5. One time costume party during Fasching (German carnival).
30€ for snacks 20€ in vouchers as price money for a costume competition.

6. Football World Cup, public screening
Screening is free, money would be needed for snacks. StuBa (Student Beer Association) would be willing to provide & sell beer on tab.

Off topic:
The idea of an "activity box" was voiced. The idea is to provide some sport activity equipment like the dart board last Summer BBQ or footballs to students. Since this is a one time purchase and not an event, the discussion regarding this was postponed.

We collected several new events and updated old ones and now FIS has to figure our the money.
