Agenda

Scheer School CEO Appointment Committe Student Representatives

----- From the notes -----

Sven Rahmann would like the FSR to nominate two student members.

AFAIK they want to aim for a business informatics/AI-inclined person, who primarily manages the Scheer School and teaches 2 SWS at UdS as a professor.

Interviews will probably be held in August - September 2025.

----- End of notes -------

The committee is part of the hiring process of new professors, where multiple persons from different areas (including students, which is the reason for this topic) of UdS are interviewing and reviewing the application. Normally the

Mona would volunteer to be part of this committee and is looking for one more person.

It would be good to have an idea of the Saarland/ German business landscape.

The committee is in English.

Mona Daniel also volunteered with Anton offering to backup if needed.

(The topic is time critical, since our next meeting is late at 07. July, we need to an Email vote. We will post the result as a small topic in the next meeting.) -> changed, see below

We got quorum later in the meeting so we voted directly instead, if Mona and Daniel are to be recommend:

Yes: 6
No: 0
Abst: 1

We will forward our nominates to the hiring organizers.

New projector for the council room

Our council room has/needs a projector for meetings. We were offered a new one and need to decide.

A new one would be more modern and they normally also have more Lumen (the room can get quite bright). The CS department would purchase one for us. The offer is on limited time.

It is to be considered if it is reasonable to use the provided money to upgrade the FSR only structure.
It would help us do our job better which will be an improvement to CS students indirectly.
(We only use it for the online meetings atm).

Jan-Phillip and Harry will look up different projectors online to find different options and then present the best ones.

Since we have quorum we decide if we want to get a new one now, and then afterwards figure out the options in the group chat since this needs a quick decision.
-> We voted on this:

Yes: 6
No: 1
Abst: 0

Gamenight low helper count

The current Gamenight event today has a very low helper count. This puts also more work on the people willing to help.

We try to find out why and how to solve this.

One opinion was, that to find out why people can not help is not a healthy discussion.
Commend on this was that it was not the intention to point out since people have valid reasons not to attend and that should be also kept private. The goal was to find out if it is of different reasons.

Exam season is in two weeks, so this might just be bad luck.

It was stated, that the actual event and organization was good and it was not bound to that.

The impressions the meeting gave was the the amount of events is in a good range.

The interval before the current council was once ever 4-6 weeks. Jonas which organizes it atm, aims for every 4 weeks.

We will do a vibe check for the interval in the group chat, but it looks like a case of just bad luck atm.

As with every event, we are happy with any help. It is a great way to get to know everyone and make new friends :)

Meeting Culture — Proposal for streamlining meetings

----- From the notes -----

Anton is unhappy with meetings for a while now, but was not sure what the problem was

- People are talking a lot off-topic
- People talk very unstructured

Anton was on the KIF, and had some very pleasant working groups, from which they learned a lot. They want to adapt some of them into our meeting

For now (more in the future), we try to structure things by hand-signs (live demonstration there, written description is lacking)

- Raise Hand: I want to say something (priority: 1)
- Raised hand with pointed finger: I have an immediate comment to what the person before me said (priority: 2)
- Silence Turtle/Schweigeschildkröte: It is too loud, please be quiet. If you see such a sign, you should stop talking, and also raise a Schweigeschildkröte
- “More Paper” from exams: Discussion is more and more off-topic or is going somewhere else (de: Das Thema sprengt den Rahmen).
- Raised waiving arms (applause for deaf people): Agreement (context-sensitive)

----- End of notes -------

Anton did a visual presentation on how raising hands work. Also how to point if you want to comment.

Anton showed the turle, the Schweigefuchs was also proposed.

One proposal was to go round the table. Counter opinions to this was that this is better for large groups, we are not that manny and it slower than our current strucutre.

Anton showed the paper sign. We are also trying to find other signs for this purpose (hand roof?).

Anton did some jazz hands, very beautiful. It shows agreement. Thumbs up was proposed but that is not visible enough.

The concern about people online was raised.
It would lead to people join meetings more in persons.

We showed a lot of weird signs bordering to dance moves. There was the opinion that too much movement is not nice on longer meetings.

The jazz hands were well received.

Another opinion was to keep the signs standard, so guests have a easier time to join.

We will have some visuals to help new people to know whats what and for old people to help with their memory.
-> Abigail volunteered to do the design.

We voted on if we want to introduce new hand signs:
Yes: 7 (unanimous)
No: 0
Abst: 0

Anton has a lot more hand signs, we will try to collect good ones in the group chat later.

FSR Mascot — Discussion about physical Mascot

----- From the notes -----

Fluffy- -Fluff- -Fluff- Also, we can now officially participate in mascot shenanigans

Comment 1:
"Apparently, back in the day we had a frog as our mascot. [Picture of a frog sticking to the ceiling]"

----- End of notes -------

One opinion was to keep the cow as it is and maybe add a plush version.

Anton will look into options for this.

SIC is doing merch, we could contact them for making a plush.
One opinion that this is to hot water with copyright to sell.

Julian offers to crochet one.

Daniel offers to look into sewing it.

The concern about how to pay it was raised. We would need to ask FIS. The materials would be not too expensive if we spray the pattern on blue fabric. Also producing a plushy only on demand to sell it would also make the cost thing easier to handle.

Room Access Part 1 – Weekends

----- From the notes -----

Currently Council Members without additional Building Access are unable to get into the CS Building.
Natalia was contacted about the possibility of getting access and she said “if it is absolutely necessary and no nonsense is being done, [granting access] is no problem”

Since this would be a new access Level a SHORT discussion on our handling of this Access (i.e. limited to elected or also voluntary) would be great.

If we decide on allowing members Ferdinand would reply to Natalia with the card numbers and names.

Comment 1:
"My personal pov would be to try and limit it to elected, but that is not a firmly held belief"

----- End of notes -------

One opinion was that this is good for deconstruction of events like GameNight which can be late in the night. Also some events need night access to prepare like the Breakfast or StEP. So there would be usage.

The alternative would be to request it on a personal matter.

Another comment was why not use general cards to hand around. One counter opinion to this is non clear responsibility if something happens with this kind of structure.

One comment was that old access is not removed so much so other rnd people might have something like this. Counter opinion was, that this is not our responsibility, so it is not the same as we having cards to hand out.

Deconstruction of GameNight does not need a specific card, since usually always someone was there with a card. Counterpoint was that this needs to be additionally considered by the organizer and planned. Also bad luck could strike. Another point was that helping out more often will give enough trust to get access.

We did a vibe check for having guest cards would be a good option:
Yes: 2
No: 4
Abst: 1
-> vibe says no

We moved on to if we want to have access to all including volunteering or elected members.

One opinion was having access makes everything way easier and treading volunteer and elected members equally.

Another point was that volunteer members are voted into that position, so we already trust them with access to out rooms, so extending would not be much more. But also handing our access to all is hard to argue with Natalia and might also be hard to manage.

Another opinion: Having a subgroup consisting of both types would work.

Another point: the current system of being either elected or volunteered member with a good reason (see above) to have access is an already good system.

We can/should make this current system more transparent.

We lost quorum.

The general vibe in the room was that the current system is good and to keep it. We will post the reminder for the access in the chat group, so people that need access can DM Ferdinand with their reasons, so he can collect and then send out an Email.

Room Access Part 2 – Purging the Rolls

Some time has passed, people moved on with their life's and uni, we need to updated access to rooms.

We went go over the roll in the meeting and made sure that it’s still up to date.
